Description/Job SummaryProvide administrative support to and within reidential program serving adults working on recovery from addiction, mental health challenges and medical issuesResponsibilities/Duties

Maintains respectful and trauma-informed interactions with all residents and staff at all times

Pays bills through electronic check request system in a timely fashion; researches and resolves issues regarding bill payments

Manages program census, including entering admissions, discharges and absences into electronic health record (EHR) and reporting census data to division, funders and billing staff

Creates and maintains spreadsheet of payments; shares with director monthly or as requested

Completes intake paperwork with new residents

Maintains resident records, assuring compliance with licensing requirements; conducts monthly audit and reports discrepancies to director

Assists nurse and therapist with scheduling appointments as requested

Checks Eligibility Verification System (EVS) daily and reports any discrepancies to director

Maintains inventory of supplies and secures director's approval to order as needed

Troubleshoots issues with office equipment

Serves as initial timecard reviewer

Keeps track of forms used in program and makes copies as needed

Answers phones and takes accurate messages

Assists new staff members with Lawson timesheet system and accessing RHD email accounts

Creates personnel folders for new staff members

Prepares/copies handouts for meetings as requested by director

Distributes mail each day

Maintains fire drill logs

Responds to issues with physical site and accompanies service people from room to room as needed

Maintains training logs

Maintains vehicle registration, inspections, maintenance/repairs, general up-keep, and ensures logs are up-to-date

Faxes and files paperwork as requested by director and case managers

Other job related duties as assigned

Required ExperienceTwo years of experience as an administrative assistant; some experience (work, volunteer, internship) in human servicesRequired EducationHS diploma/GEDRequired Qualifications

Working knowledge of Microsoft Word and Excel; familiarity with office equipment including fax, scanner

Ability to learn specialized computer programs used for payroll and bill payment

A valid driver's license is required

COVID-19 vaccination is required

Ability to understand and function within a trauma-informed environment

Program SummaryNOVA III is a long-term residential treatment program serving adults experiencing complications from addiction, co-occurring mental health challenges, and medical issues requiring the availability of round the clock nursing.RHD employees and programs in the City of Philadelphia are required to follow the COVID vaccine mandate. Revised PDPH guidance allows for new hires to be partially vaccinated at the time of hire. This means they have received at least one shot in a two-dose series or a single dose in a one-dose series before beginning in-person shifts.
