Position SummaryAn employee in this position is considered a valuable member of a team and provides support to Civil Division Court staff. Duties are performed following well-established procedures, including processing legal documents, with or without close supervision. Work is performed under the immediate supervision of the office manager and assistant manager. In order to apply and be considered for this position, please visit https://fjdcareers.phila.gov/Cyberweb/ to complete an application and upload a resume. Essential Functions The following duties are normal for this position.  These are not to be construed as exclusive or all-inclusive.  Other duties may be required and assigned. Searches names, cases, and judgment indexes to serve the court users with information.Instructs court users on proper procedural steps to file documents that comply with the rules of civil procedure.Resolves and responds to inquiries via telephone, email, and in-person from the judiciary and court users concerning court documents or actions, especially docketing, scheduling, and assignments for the Civil Motions Program.Examine legal documents (motions/petitions and all related filings, such as, answers/responses/replies) to determine that the documents comply with the rules, processes, and procedures for filing.Returns incorrect legal documents to the e-filing users for appropriate action if necessary.Responsible for processing rules and orders for emergency filings.Responsible for explaining the emergency motion process to the filing party via telephone, email, or in-person.Processes court orders issued by the judiciary to ensure the proper statuses of cases and motions/petitions, as well as scheduling hearings.Assigned to courtrooms to assist the judiciary and other court personnel with cases, orders, and/or hearing dates.Assigns motions/petitions to the judiciary.  MARGINAL FUNCTIONS: Answers the telephone daily.Provides general information pertaining to assigned function.Replenishes computer printer, copier, or fax machine paper supplies.Performs other duties as assigned.  ENVIRONMENTAL CONDITIONS:Standard courtroom and office conditions.Contact via telephone, email, and in-person with diverse court users daily. In order to apply and be considered for this position, please visit https://fjdcareers.phila.gov/Cyberweb/ to complete an application and upload a resume.  Competencies, Knowledge, Skills and Abilities General knowledge of court system purpose and record keeping processes.Ability to write legibly.Ability to provide information clearly and concisely, both orally and in writing.Ability to recognize different types of civil documents and legal instruments necessary to effectively perform the docketing function.Ability to learn to extract and summarize information from legal instruments in order to fulfill the requirements for docketing and indexing legal information.Ability to learn and comply with applicable rules, regulations, and procedures as they apply to posting information into dockets and indexes pertinent to the assigned function.Ability to establish and maintain effective working relationships with coworkers and the general public.  In order to apply and be considered for this position, please visit https://fjdcareers.phila.gov/Cyberweb/ to complete an application and upload a resume.
