Talent Acquistion Assistant

DescriptionAs a member of the Talent Management Department, the Talent Acquisition Assistant provides comprehensive administrative/clerical support to the Talent Acquisition Team and assists with other HR Related matters.ESSENTIAL FUNCTIONS:

Provide administrative support to the Talent Acquisition Team (Manager, Specialist and Coordinator) in all matters related to the recruitment and hiring of business professionals, paralegals and patent agents.

Schedule onsite and virtual interviews, including sending Outlook calendar appointments & confirmation emails, submitting video conference and hospitality requests, booking conference rooms, and preparing interview materials for candidates and panelists.

Assist with candidate pre-employment processes, including processing/monitoring background checks and conducting reference/due diligence checks.

Post job openings with various job sites and maintain tracking spreadsheet to ensure postings remain active as needed.

Draft and track agreements with staffing agencies.

Serve as primary point of contact for cold calls/emails from staffing agencies, vendors, and prospective candidates; triage to other members of team/department, as needed.

Review all talent acquisition-related vendor invoices and process for approval/payment.

Assist with the establishment and maintenance of electronic human resources files and employee records.

Assist with recruiting initiatives including assembly of materials for career fairs and assistance with coordination of events held at the Firm.

ADDITIONAL FUNCTIONS:

Various short-term and long-term projects, as assigned.

Assist with other related administrative duties, as assigned.

Other duties, as assigned.

QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):Education:

Bachelor’s degree required. A combination of education and prior experience working in a law firm setting will be considered in lieu of a bachelor’s degree.

Experience:

At least one year of related professional experience is required. Two years of Human Resources experience, with a focus in Recruitment, is preferred.

Knowledge, Skills, & Abilities:

Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) required. Proficiency with Outlook email and calendar management strongly preferred.

Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment.

Excellent organizational and communication skills with close attention to detail.

High level of interpersonal skills to build relationships across departments and offices.

Maintains employee confidence by keeping human resources information confidential.

Ability to work well in a team environment.

Ability to organize, prioritize, handle multiple job responsibilities/projects and meet deadlines.

Familiarity with HRIS systems is preferred but not required.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.PHYSICAL REQUIREMENTSSedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time.
