Administrative Office Support/Customer Service

We are looking for a responsible and reliable Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include answering phones daily and providing support to our office staff. Assisting in daily office needs and managing our company’s general administrative activities. The position's main focus is to answer phones and scheduling estimates. You will be dealing with customers on a daily basis. Strong customer service background is helpful. The ideal candidate should have excellent oral and written communication skills and be able to organize their work and prioritize independently. If you have previous experience as a scheduler and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office. Office hours are Monday - Friday, 8:30AM -4:00PM. Salary based on experience.

Responsibilities

Answer and direct phone calls

Organize and schedule appointments for our Arborists

Listen to and review daily voicemails and handle accordingly

Typing proposals and emailing to customers

Write and distribute email, correspondence memos, letters, faxes and forms

Order office supplies and research new deals and suppliers

Provide general office support such as filing, placing supply orders, handling the mail.

Skills

Proven experience as an administrative assistant or office admin assistant

Ability to perform in a fast paced environment

Knowledge of office management systems and procedures

Working knowledge of office equipment, like printers and fax machines

Proficiency in MS Office (MS Excel and MS Outlook in particular) Quickbooks experience a plus but not required

Excellent time management skills and the ability to prioritize work

Attention to detail and problem solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task

High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Willing to learn new things while working on a team
