HOA Office Manager

Pennsbury Village Condominium is a residential community dedicated to providing exceptional living experiences to our residents. We are seeking a dynamic and organized Office Manager to join our team and oversee the day-to-day operations of our condominium office.

The Office Manager will be responsible for managing the administrative functions of the condominium office, ensuring smooth operations, providing excellent service to residents and visitors, and communication with the Property Manager and the Association Board. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Oversee daily office operations, including answering phone calls, responding to emails, and managing correspondence.

Maintain and organize resident records, files, and documents.

Assist residents with inquiries, requests, and concerns, ensuring timely and satisfactory resolution.

Coordinate and schedule meetings, appointments, and events for the condominium association.

Manage office supplies inventory and place orders as needed.

Processing payments and leases.

Collaborate with maintenance and management teams to ensure property maintenance and repairs are addressed promptly.

Prepare and distribute newsletters, notices, and other communications to residents.

Ensure compliance with condominium policies, procedures, and regulations.

Assist with the preparation and distribution of board meeting agendas, minutes, and reports.

Perform other administrative tasks as assigned by the property manager or board of directors.

Qualifications:

High school diploma or equivalent; associate’s or bachelor’s degree in business administration or a related field is preferred.

Proven experience in office management, administrative support, or a similar role.

Strong organizational and multitasking skills with attention to detail.

Excellent communication and interpersonal skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.

Ability to work independently and as part of a team.

Knowledge of condominium management and relevant regulations is a plus.

Ability to handle sensitive information with confidentiality and professionalism.
