We are currently seeking a well-organized and detail-oriented person to serve as Drafting Coordinator (“DC”) working 8:00 a.m. to 5:00 p.m. at our office in Moosic, PA.

This role is perfect for a person who has worked in a law firm environment in the past OR someone with a customer service or sales background who is looking to do meaningful work building a long-term career

Position Summary:

The CSC is well-organized, detail-oriented, and highly customer-service focused. The CSC may have sales experience in his or her background, is easy to talk to, loves striking up a conversation with anyone at any time and really gets that we are more than just document drafting lawyers. The CSC will manage our client service process, draft and record property deeds, draft and review estate planning documents and explain legal documents to our clients.

What You’ll Do:

Manage the entire estate planning process from Prospect to Client. This means tracking all appointments made, handling all pre-meeting communications with the client, and supporting prospects to complete and return pre-meeting packages.

After the client comes in for their appointment and is engaged by the lawyer, the CSC will come in at the end of the meeting and review the engagement letter with the client and get it signed, arrange for payment using the payment form, schedule the signing meeting 4 weeks out, gather any documentation the clients brought and remind clients what else will be needed, and let the clients know what to expect next.

Once the clients leave, the CSD will then scan all documentation into the electronic file management system, compile notes, design sheet, and estate planning worksheet, draft the plan and set up the funding toolkit and follow up process.

The CSC will then send out welcome emails to the clients and will send the confirmation of important decisions made and the preliminary asset spreadsheet to the clients for review and to provide any missing information. The CSS then calls the clients to identify what needs edits and will send that information to the drafting and funding coordinators.

Once the plan is ready for review, the CSC will bind it and present it to the lawyer for review and make any necessary edits.

CSC will remind clients of upcoming signing meetings, any payment due at the meeting and will greet the clients and review the plan with them at the signing meeting.

The CSS may also conduct the final meeting, the Life and Legacy Interview, ensure fiduciary letters are sent to all those named in the estate plan, ensure the clients understand how to transfer the assets into their plan and make sure it gets done and offer ongoing membership.

What You’ll Need:

Associate degree, paralegal degree/certificate highly recommended.

Notary Public preferred but not required.

Outstanding interpersonal, communication, organizational and problem-solving skills.

Strong customer service skills.

Strong computer skills, most notably MS Word, Excel, PowerPoint, Outlook.

Ability to learn WealthCounsel, Law Pay and Clio web-based technologies.
