JOB DESCRIPTION AND POSITION REQUIREMENTS:The Department of Psychology (https://psych.la.psu.edu/) in the College of the Liberal Arts is accepting applications for an Administrative Assistant. This role involves coordinating with the hiring faculty on hiring and offboarding of research staff, assisting faculty with grant and research fund tracking, managing purchases for faculty labs, and providing budget and other support to their supervisor, the lead Administrative Support Manager.Responsibilities include but are not limited to:

Budget Management: Oversee faculty research budgets, track expenditures, and suggest alternatives to maximize the use of funds. Create financial reports and follow up on temporary commitments and approve spending, ensuring the availability of funds and compliance with policies.

Staff Recruitment and Appointments: Manage full-time and part-time staff hiring for research and faculty labs. Request approval for new positions, advise on and review position descriptions, create ads and post positions, ensure deadlines are met, and manage human resources form submissions.

Purchasing: Purchase gift cards, non-computer equipment, and supplies for research faculty and their labs, obtaining necessary approval when using college research funds. Submit purchasing documents to finance, working closely with the finance team.

After training, the Administrative Assistant will work with various software and applications including Microsoft 365 and DocFinity, as well as the following which are specific to Penn State:

Workday/WorkLion (central resource for HR services, recruitment, attendance, etc.)

SIMBA (System for Integrated Management, Budgeting, and Accounting)

Education and Experience:This position will be filled at the level of Intermediate Support or Senior Support, depending on the final applicant’s experience and education. The Intermediate Support level requires a minimum of a High School Diploma/GED or Vocational Training/Degree for education plus two years of relevant experience, or an equivalent combination of education and experience. Additional education and/or experience are required for higher-level positions.Additional qualifications include:

Detailed-oriented and driven to provide excellent customer service

Outstanding organization skills

Demonstrated ability to be proactive and take initiative

Ability to exercise discretion and judgment when handling confidential and sensitive documents and matters
