Responsibilities:
Provide general administrative support to the team, including:
o Filing, data entry, typing, and assisting in the management of communications and
paperwork.
o Managing call log, assisting with general reception and telephone duties.
Interact and cooperate with all members of the team, its suppliers, and clients/customers.
Carry out duties to the best of ability, having consideration for the needs of colleagues, the
organization, and its customers/clients.
Comply with the organization’s rules, procedures, and policies.
Be responsible for the equipment provided for use in the job role and to the team.
Use the CRM (Jobber) system to manage the functions of documenting customers’ issues and
complaints in accordance with agreed requirements.
Coordinate with service on parts, customer follow up regarding parts, part tracking and
coordinate repair scheduling with OLice Manager
Provide phones support
Track part returns and credit follow up
Research and create a service contract program for ongoing revenue
Create boiler installation list, pull from Jobber
Interact and co-operate with all team members, its suppliers and clients/customers
Skills & Qualities
Knowledge of all basic Microsoft and Mac programs- Word, Excel, Outlook
Must know be able to pull and manipulate reports as needed
Phone etiquette- be able to assist customers on the phone when needed
Willingness to learn the CRM (Jobber), how we use it
Strong customer service skills, with the ability to provide professional assistance to customers.
Excellent communication and interpersonal skills, with the ability to work eLectively with
colleagues and external parties.
Ability to work in a fast-paced environment, with strong organizational and time management
skills.
Proficiency in using CRM systems and other administrative software.
Ability to maintain confidentiality and handle sensitive information.
Education and Experience:
One to three years of experience in an administrative capacity, preferably in a customer-facing
role.
Relevant education or training in customer service, administration, or a related field.
Working knowledge of basic Microsoft programs and use of Mac desktop
o Outlook, Excel, Word
o Must be able to pull reports, clean/scrub data for accuracy
