What You'll DoWe’re looking for a highly organised and proactive Team Co-ordinator to join our Membership team to support our General Manager, Membership and General Manager, Digital. This is a fast-paced, high-impact role where you’ll be at the centre of the action – helping senior leaders stay focused, organised, and ahead of the curve.You’ll play a key role in having a strong understanding and anticipating the Membership team’s priorities to ensure seamless day-to-day operations while also contributing to team events, projects, and broader business priorities.This role is a full-time permanent position, with the hybrid work arrangements, where you will be required to work 3 days in our Sydney CBD and/or Sydney Olympic Park office and have the option to work 2 days from home.You’ll be trusted to manage priorities, anticipate needs and keep things running smoothly across a range of responsibilities including, but not limited to:Proactively manage and prioritise meeting requests and calendar schedules for General Managers including preparing agendas, and take minutes/actions where requiredProactively manage and prioritise competing requests on behalf of senior leadersSupport the preparation and coordination of high-quality papers, updates and presentations for leadership forumsSupport team projects by tracking deadlines, managing workflows, and providing general assistance as neededAssist in preparing and formatting documents, reports, and presentations including collation of monthly reportingAssist in quarterly & yearly planning preparation & tracking execution to planPlan and organise team meetings, events, workshops, or conferences including monthly team All Hands, quarterly Town Halls and team planning offsitesSupport and coordinate the operating rhythm, including preparing agendas, actions and follow-upsCoordinate travel arrangements and accommodation for team members and create relevant itinerariesManage GM expenses & reconciliation, raise purchase orders and oversee payment process for vendorsLiaise with external vendors or stakeholders when requiredMaintain an organised filing system for documents, records and confidential information.Provide additional support to the EA to CMO in adhoc administrative tasks.What You'll Bring5+ years’ experience in providing administrative support to senior leadersAbility to work in a fast-paced team environmentStrong organisational and time-management skills.Excellent written and verbal communication skillsProficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams)Demonstrated ability to build and maintain effective working relationships with key internal/external stakeholders, including executives, senior leaders and team members, maintaining positive and professional relationshipsHigh attention to detail and accuracyAbility to handle multiple tasks and prioritise effectivelyStrong team player with a collaborative mindsetAbility to maintain confidentiality and handle sensitive informationProactive in identifying opportunities to improve processes and solve problemsResourceful and solution-oriented in handling challenges.What's in it for you?At the NRMA we aren’t just about discounts (although you do get these too).
