Perform daily administrative tasks such as data entry, filing, and record-keeping;
Manage calendars, schedule appointments, and follow up on tasks and deadlines;
Maintain a clean and organized work office;
Manage appointments and scheduling;
Recruit, assist with tours, interview and mentor new students;
Take photos, videos of students on-the-job training;
Marketing and Storytelling on social media;
Attend job fairs, student internships, field trips, externships, school events;
Manage and assist with student competitions, hair shows, seminars, workshops;
Assist with front desk duties as needed;
Handle incoming calls and emails, sms messages, with staff, vendors, prospective students, apprentices, pre-apprentices, administration, applicants and recruiting, providing exceptional customer service and addressing student, apprentices and employer partner inquiries;
Assist with office management tasks, including coordinating maintenance, student kits, requests, communicating with administration, and updating student records;
Create and manage potential student listings, create accounts in management software,
update records, respond to applications, forms and enter student data details;
Track student/apprentice payments and update student/apprentice files on specific days weekly
Draft Notices in School Platforms and DocuSign as needed;
Facilitate for delivery of certain Notices, and send notices via email as needed;
Prepare student kits, schedule pickup and deliveries;
Support senior staff by tracking project timelines, assisting with reporting, creating file folders, and sending forms via DocuSign;
Ensure records and digital files are organized and up to date;
Conduct prooing and document formatting for accuracy and clarity.
Qualifications
Proven experience as an Administrative Assistant.
Proven experience in the office management field.
Proficiency in MS Word, Excel, Outlook, DocuSign, MLS, ZohoCreator, ZohoOne and county records searches.
Strong organizational skills with the ability to prioritize tasks.
Excellent communication and interpersonal abilities.
Knowledge of office management systems and procedures.
Familiarity with phone systems and phone etiquette.
Ability to multitask and work efficiently in a fast-paced environment.
Education and Experience:
High school or equivalent (Required if over 18)
