Serving one of the fastest-growing cities and counties in the state and country, the RPC is seeking a self-starting Administratice Support Specialist with initiative and drive to help guide growth well into the next decade.The RPC offers a comprehensive benefits package including medical, dental, and vision insurance, paid time off, flexible spending account access, and Tennessee Consolidated Retirement System package.PURPOSE OF JOB:The Administrative Support Specialist is often the first voice or face the public will see when contacting or visiting the RPC. The Administrative Support Specialist is responsible for the intake of all applications and entering them into the tracking system. Other duties include taking meeting minutes, preparing agendas, emailing, printing, forwarding, and routing information to the correct department or representative.Example of DutiesESSENTIAL DUTIES AND RESPONSIBILITIES:
Answers the main telephone line in a professional format directs calls to appropriate personnel and provides information to the public and staff.
Greets and receives all visitors to the RPC and directs them to the proper staff for assistance.
Processes zoning, subdivision, site review, and design review applications including creating files and receiving payment.
Supports staff members with clerical functions (i.e. copying, scanning, monthly mailings, correspondence, etc.)
Coordinate departmental review actions.
Processes, receives, sorts, and distributes a variety of correspondence, deliveries, and mail.
Minute recording for two monthly meetings.
Update GIS records with case history.
Operates a variety of office equipment.
Files documents alphabetically, numerically, or by other prescribed methods in established filing systems.
Maintains an adequate supply of information, forms, applications, and regulations.
Monitors, takes inventory, and restocks office supplies and materials.
Scanning, archiving, and filing of files.
May be required to substitute in a role requiring advanced clerical and minor administrative responsibilities as directed by the Director of Planning.
Other tasks of a similar nature or level as assigned by the Director of Planning or designee.
Typical QualificationsEDUCATION AND EXPERIENCE:High School Education with typing and word processing/computing skills. Four years of administrative experience preferably in a detail-oriented office or other government agency.KNOWLEDGE:Ideal candidates will possess the following knowledge:
Must be able to work in a modern government office environment with established requirements, practices, procedures, and equipment.
Must deal tactfully with the public and co-workers; to exercise good judgment in evaluating situations leading to decisions; to express ideas clearly, concisely, and convincingly.
Ability to type accurately from plain copy and rough draft.
Ability to deal tactfully with the public; to screen, forward, and give varied information.
Ability to read and interpr t a map or legal description - GIS experience a plus.
Prepare documentation for legal notices in the newspaper.
Proficiency in data entry and systematic filing.
