Administrative Assistant

Description We are looking for an Administrative Assistant to join our team in Knoxville, Tennessee. In this role, you will largely be responsible for ensuring smooth communication with clients, managing client insurance information, providing support to the Accounts Payable department, and ensuring the accuracy and timeliness of data entry. This role offers a contract to hire employment opportunity in the commercial real estate industry.Responsibilities: Oversee outbound correspondence to potential and existing clients, ensuring communication is accurate and timely. Develop marketing materials such as flyers using Adobe Acrobat for internal team use. Manage and update client insurance information meticulously, including maintenance and renewals. Draft and manage various forms of communication using MS Word and distribute them to regional and national clients as necessary. Provide backup support to the Accounts Payable department as needed to ensure smooth operations. Input relevant data into our specialized database, ensuring accuracy and promptness of information. Handle client inquiries and resolve them in a timely and efficient manner. Monitor customer accounts and take appropriate action as needed. Process customer credit applications accurately and efficiently. Maintain accurate customer credit records.For immediate consideration please contact: Kelly Fellows 865-370-2219Requirements Minimum of 1 year experience in an Administrative Assistant role or similar Proficiency in Microsoft Office Suite (Microsoft Word, Excel, and Outlook) Experience with Adobe Acrobat Proven experience in answering inbound and making outbound calls Strong customer service skills, both over the phone and in-person Ability to manage email correspondence effectively and professionally Experience with scheduling appointments, both internally and externally Familiarity with processing vendor invoices Excellent written and verbal communication skills High level of organizational skills and attention to detail Ability to multitask and prioritize tasks effectively in a fast-paced environment Demonstrated problem-solving abilities High school diploma or equivalent education level required Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
