Job Title: Administrative AssistantJob DescriptionOur client, an engineering consulting firm, is seeking an Administrative Assistant for their materials department. Location: Nashville, TN Hours: Monday - Friday, 8am to 5pm Essential Roles and Responsibilities: - Serve as administrative support for the materials department - Prepare invoices and bill clients - Maintain equipment records to ensure equipment stays calibrated and assist in logistics for equipment to be recalibrated - Maintain all records for field equipment stored in-house ensuring accuracy - Maintain reports for technician field equipment - Ensure all equipment needed by technicians is in stock and in-house - Coordinate with technicians and other employees to set up projects and assist with proposals - Handle calendaring, travel arrangements, and coordination of day-to-day activities - Compose, prepare, edit, and proo letters, reports, and other correspondence - Answer telephones, screen calls, and forward messages - Keep organized records, filing, and data entry - Maintain quality standards on all projectsHard Skills
High school diploma or equivalent
Experience with invoicing
Minimum 4 years’ relevant administrative experience (construction or related field preferred)
Knowledgeable in MS Word/Excel
Valid driver’s license with acceptable violation history

Strong communication skills
