Lieff Cabraser Heimann & Bernstein, LLP, a national leader in plaintiffs' class action and multi-plaintiff litigation, has an immediate opening onsite in Nashville for a highly motivated and proactive Office Assistant.

SUMMARY

The Office Assistant provides support to lawyers, paralegals and other office staff by performing a wide range of administrative tasks. Daily functions may include handling client calls, processing important documents, and operating office machinery such as copy machines, scanners, printers, etc.

ESSENTIAL DUTIES AND RESPONSIBILITIES including the following. Other duties may be assigned as necessary.

- Act as back-up to the Receptionist with call handling, screening and routing

- Responsible for checking the overnight voicemail box each morning and contacting existing and potential clients back in the same business day

- Open, sort and distribute incoming and interoffice mail

- Assist in processing express and overnight courier packs

- Operate office machines, such as photocopiers and scanners, facsimile machines, voicemail systems, and personal computers

- Assist with troubleshooting technical problems with copiers and facsimile machines

- Meters mail and packages for delivery to post office/mail box

- Fill supply requests

- Stock, organize and clean supply rooms

- Stock copy paper, letterhead, envelopes, etc., by each printing/satellite station

- Stock kitchen with drinks, snacks, fruit, paper products, etc. May also prepare conference rooms for meetings and events and perform light housekeeping duties such as filling and emptying dishwashers and tidying up kitchens and conference rooms

- Upon request, hand-deliver sensitive and confidential matter for attorneys

QUALIFICATIONS

- Associate’s degree preferred but not required

- Must have basic word processing skills and the ability to operate office equipment

- Prior legal, office services and customer service experience preferred but not required

- Attention to detail and good organizational and analytical skills

- Must be willing to work occasional overtime

- Ability to multi-task

- Professional appearance and demeanor

- Ability to handle, lift and move boxes containing legal business matter

HOURS

Shift hours are from 10:00am to 6:00 pm, Monday through Friday. Occasional overtime work may be required
