Associated Packaging Sales & Ops Coordinator FULL-TIME $20/hr 435 Calvert Dr, Gallatin, TN 37066 - Assist and support sales partners, branch personnel and customers relative to all aspects of sales, vendor sourcing, cost management, and development. - Research all information on orders in history and files before ordering materials from vendors. - Key sales requisitions, bills of lading and purchase orders relative to orders received from sales or customers. - Coordinates with vendors and sales partners to obtain specific information relative to material before placing orders. - Handles sourcing of material as required by customers and sales partners. - Aids in product development, specifications and samples - Process orders to vendors via email, phone, or fax. - Verify any freight charges on orders and obtain proof of delivery as needed. - Match acknowledgments to purchase orders and resolve any discrepancies. Send customer order acknowledgments as required. - Resolve problems on damaged items by coordinating with vendors and customers; issue credits and debits as needed. - Assist in researching and resolving problems relative to month-end circling (inventory reporting). - Assists accounts receivable agent in resolving past due invoices with customers. Issue credits and debits as needed. - Review daily and take immediate action, when necessary, on the purchase order expedite and follow up reports. - Select sales requisitions and process vendor payables for billing/invoicing customers. - Assist with physical inventory of material, parts & machinery. - Assist Branch Manager with daily operations. - Work with third-party sources and customer portals to facilitate customer orders/billing. - Assist with verifying outbound shipments for the warehouse. - Provide assistance to other employees as needed. - Operational support (inventory control, consignments, 3PL’s, A/R review, machine deals, CSR training…). - Complete special projects as assigned by the Operations Department, Branch Manager, or Vice-President of Sales. - Review purchasing reports and place stock orders accordingly for shared inventory and higher moving items. - Other duties may be assigned. - Process Freight invoicing for local carrier and parcel services. - Maintain monthly machine billings – rentals, leases, demo’s - Place machine orders, bill down payments, schedule installations upon machine arrival - Run and verify daily billing Schedule - Shift start: 8:00AM - Shift length: 8 hours - Days: Monday - Friday Benefits - Health, dental, vision insurance available after 90 days - Paid time off - 401k Requirements - Minimum four-year degree required. - 3-5 years office experience to include familiarity with Microsoft Office (Word, Excel, PowerPoint, Outlook & Teams) and knowledge relevant to operations and accounting procedures. - Adept at working on multiple concurrent tasks with little supervision. - Must possess the ability to work independently and manage priorities under tight deadlines to ensure maximum productivity. - Prepare and present comprehensive and clear oral and written reports. - Calculate figures and amounts such as discounts, interests, commissions, and percentages. - Ability to define problems, collect data, establish facts, and draw valid conclusions. - Must be at least 25+ years old - Must pass drug screen - Must pass background check - Can lift 20 lbs About Associated Packaging Associated Packaging is a full service packaging company.
