Position Summary:
Ensures the efficient day-to-day operations of the office, provides administrative support to VP of Compliance, coordinates payroll, permitting, recordkeeping, may assist with Recruiter with hiring process. Must have understanding and good sense of the importance of confidentiality.
Office Management Duties
Screens and directs all incoming calls.
Greets clients/suppliers/visitors to the facility in a professional and friendly manner.
Prepares and mails all US mail as needed. Picks up, sorts and distributes incoming mail. Maintains and purchases postage supplies.
Responsible for the vehicle / inventory maintenance records and maintain various datatbases.
Assists Management and other employees, if necessary.
Will assist with obtaining and distribution of permits.
Qualifications/Skills Required:
Thorough understanding of phone systems
High School Diploma; business classes or training certificates are an asset
2- 3 year’s experience in an office setting
HR Administrative Experience
Demonstrated knowledge and skills in Microsoft Office, Internet searching, Voice messaging systems, Fax, Photocopier and label printers. Business System experience preferred
Excellent organizational skills
Strong sense/understanding of the importance of Confidentiality and Business Ethics
Ability to speak, listen and write in a clear, thorough and timely manner
Ability to work cooperatively and effectively with others
