Financial Coordinator

We are seeking a detail-oriented and organized Finance Coordinator to join our team. The ideal candidate will play a crucial role in supporting the financial operations of the organization, ensuring accurate data management, and providing exceptional administrative support. This individual will need to be self-motivated and can successfully work outside a structured office environment. Initial job responsibilities will be to assist with tracking financial accounts and be able to navigate QuickBooks Enterprise. This will be a full-time position and while this is a remote position, the candidate will need to be located in Austin, Texas and be able to work side-by-side the management team when needed.

Responsibilities

Manage and maintain financial records, ensuring accuracy and confidentiality.

Perform data entry tasks, including updating financial databases and filing documents.

Maintain expert records of vendor invoices, payments, employee expense reports, payments, etc.

Maintain data imports of employee time and time-tracking software.

Prepare month-end unbilled time and expenses for Project Management team.

Assist in reconciling month-end bank statements within QuickBooks.

Record bank deposits.

Prepare Accounts receivable statements for Project Management team.

Collaborate with team members to streamline processes and improve efficiency in financial operations.

Offer customer support by addressing inquiries related to financial transactions or documentation.

Maintain organized filing systems for easy access to financial records and reports.

Serve as back-up for payroll processing by preparing batch reports for third-party payroll company.

Skills

3+ years experience in management of QuickBooks (or similar) accounting software.

Knowledge of basic computer software including Microsoft 365 applications (Word, Excel, Teams, etc.).

Ability to communicate in a professional and courteous manner.

Ability to work from a home office environment, but also to work side-by-side the management team at other remote offices at least one time per week as directed by supervisor.

Ability to have a dedicated home work station that is free from encumbrances or distractions from job responsibilities.

Proficient in data entry with a keen eye for detail to minimize errors.

Administrative skills that contribute to efficient office operations.
