Primary Purpose:
To lead the Human Resources team within a logistics company, overseeing staff training, updating manuals, and ensuring compliance with applicable laws. Responsible for processing all personnel actions through the logistics HR system and providing high-quality customer service to employees. Assists with data entry and maintenance of employee information, supports HR electronic programs, and aids in daily administrative activities. Additionally, responsible for background checks, fingerprinting, and I-9 form updates.
Major Responsibilities:
1. Assist in coordinating and training HR staff on HR processes.
2. Create and update manuals for the HR team.
3. Serve as a liaison between the HR department and logistics systems.
4. Assist visitors and employees with HR-related inquiries and provide guidance on salaries and positions.
5. Maintain personnel records in the HR management system.
6. Collaborate with business office, and HR personnel to collect, organize, and format data for timely submission to the HR system.
7. Accurately enter and process personnel management forms (e.g., new hires, position changes, salary adjustments, separations); calculate salaries for all employment groups.
8. Maintain employee files and process service records requests; track missing documents.
9. Process weekly and bi-weekly payroll within the HR system.
10. Research, prepare, and distribute contracts to employees.
11. Prepare new employee files, download application information, and assist with New Employee Orientation.
12. Assist with site visits and roster updates; manage routine administrative tasks.
13. Maintain personnel files in compliance with legal requirements.
14. Coordinate job postings on the website, review resumes, and conduct follow-up calls during the hiring process.
15. Assist with HR forms, ensure proper approvals, and file documents as needed.
16. Generate various reports for management.
17. Assist in updating and maintaining job descriptions.
18. Facilitate background checks, fingerprinting, and orientation processes for new employees, including I-9 processing.
19. Adhere to all company policies, procedures, and applicable state and federal regulations.
20. Perform other duties as assigned.
Special Knowledge/Skills:
Knowledge of applicable federal, state, and local laws and procedures
Familiarity with HR management systems (e.g., logistics management software)
Understanding of basic accounting principles and salary administration
Proficiency in customer service, telephone etiquette, and record-keeping procedures
Skilled in data entry and using word processing and spreadsheet applications
Ability to work collaboratively in a team environment and communicate effectively
Working Conditions (Mental Demands/Physical Demands/Environmental Demands):
Prolonged use of computers; repetitive hand motions; ability to maintain emotional control under stress; ability to work with frequent interruptions and deadlines; prolonged sitting; visual acuity for data input; must be able to lift and/or carry at least 20 lbs.
