Job Title: Admin/Office Assistant $18-22 per hour to start DOE 30-40 hours with some flexibility.
Reports to: Business Owner

We are a growing group of companies specializing in heating and air conditioning services, as well as outdoor lighting installations. We are seeking a motivated and organized Admin/Office Assistant to provide essential support to the business owner and ensure smooth daily operations.
Responsibilities:
General Office Duties:
Answer and direct phone calls, emails, and other inquiries
Greet and assist visitors
Manage and maintain office supplies and equipment
Organize and maintain filing systems (physical and digital)
Prepare and process correspondence, reports, and other documents
Scheduling:
Schedule appointments and meetings for the business owner and other staff
Coordinate service calls and installations with technicians and customers
Maintain and update calendars and schedules
Assist with processing payroll, including collecting timesheets and entering data
Follow up on outstanding payments and collections
Accounts Payable and some receivables
Other duties as assigned
Qualifications:
High school diploma or equivalent
2+ years of experience in an administrative or office support role
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Excellent organizational and time management skills
Strong attention to detail and accuracy
Effective communication and interpersonal skills
Ability to multitask and prioritize tasks in a fast-paced environment
Experience with scheduling and payroll software a plus
Knowledge of basic accounting principles a plus
