Transportation Administrative Clerk

- Position: Office Clerk/Admin (Transportation)

- Hours: 8:00 AM - 5:30 PM, Monday - Friday

- Location: Lancaster, TX

- Pay: $16.00 per hour

- Job Requirements: Proficiency in computer skills (Excel/Word), data entry experience, and comfortable interacting with over-the-road truck drivers.

Job Summary:

The Transportation Administrative Clerk is responsible for managing tasks related to the preparation and coordination of outbound deliveries to customers. This role involves close collaboration with drivers, supervisors, and the Transportation Manager to ensure smooth and efficient operations.

Key Responsibilities:

Invoice Verification: Review and verify customer invoices for accuracy.

Outbound Documentation: Prepare and organize outbound paperwork, including printing invoices and compiling COD information on bills of lading, driver manifests, logs, and inspection sheets.

Document Management: Ensure all transportation documents are properly completed, authorized, and filed appropriately.

Administrative Support: Provide general clerical assistance as needed, including sorting, filing, faxing, copying, and distributing paperwork.

Reporting: Maintain accurate weekly and monthly transportation reports to support operational efficiency.

Sales Coordination: Assist the sales team by tracing and rerouting orders when required to meet customer needs.

Driver Activity Auditing: Complete and audit daily activity reports from drivers to ensure compliance and accuracy.

Record Keeping: Maintain detailed records of COD transactions on bills of lading.

Attendance and Safety: Consistently maintain good attendance and adhere to all safety protocols.

Confidentiality: Protect sensitive company information and maintain confidentiality at all times.

Additional Responsibilities: Perform other tasks and participate in special projects as assigned by management.

Qualifications:

Education: High School Diploma or GED required.

Experience: Previous experience in clerical roles, particularly within transportation or logistics environments, is preferred.

Technical Skills: Proficient in Microsoft Office Suite with strong data entry skills and a high level of accuracy.

Language Skills: Bilingual in Spanish is a plus.

Communication Skills: Excellent written and verbal communication skills, with a strong grasp of grammar and professional language.

Organizational Skills: Must be well-organized, resourceful, and capable of managing multiple tasks with minimal supervision.

Customer Service: Strong phone etiquette and a focus on internal and external customer satisfaction.

Personal Attributes: High energy, strong interpersonal skills, adaptable, tactful, and able to work effectively with diverse personalities.
