Job Description Overview:
We are seeking a highly organized and dynamic HVAC/R Service Dispatcher to join our team. The ideal candidate will have a keen eye for detail, excellent organizational skills, and a background or willingness to learn about HVAC/R systems. As the logistical lead for operations, you will ensure efficient service, organize technician schedules, and problem-solve in a supportive and collaborative work environment.
Work Hours:
- Monday to Friday, 8 AM to 5 PM
- Occasional overtime and on-call hours as needed.
Key Responsibilities:
Dispatch and Scheduling:
- Schedule and dispatch technicians for installations, maintenance, or emergency services, optimizing workload and ensuring high levels of customer satisfaction.
- Maintain an updated dispatch board/schedule and schedule follow-up return trips to customers as needed.
Administrative Support:
- Perform various administrative tasks, including maintaining project documentation, supporting billing processes, and contributing to team meetings with updates on project statuses.
- Accept, open, and close calls in Corrigo and update job notes on Corrigo as needed.
Customer Service:
- Present a positive, energetic tone and serve customers with a sense of urgency and professionalism.
- Accurately capture customer issues in documentation for dispatch to technicians.
- Act as the client contact person for ETA and service call issues or questions.
Qualifications:
- Proven experience in coordination or administrative roles, preferably within the HVAC/R, construction, or similar technical fields.
- Familiarity with HVAC/R systems, refrigerant management, and environmental regulations is highly desirable.
- Strong organizational skills, with the ability to manage multiple tasks simultaneously and meet tight deadlines.
- Excellent communication skills, both verbal and written, with the ability to work effectively in a team environment.
- Ability to work in a fast-paced environment.
- Bilingual (English/Spanish) required.
- Knowledge of Method CRM, CorrigoPro Management Software, Google Docs, and Microsoft Office is a plus.
