Inventory Admin Job
Position Overview:
The Operations Clerk provides administrative support to the Finance Operations Director, Sales General Manager, and The Wholesale Manager, assisting with inventory management tasks, research, and documentation. This position is responsible for tracking outstanding inventory items, backing up Sales Admin and Wholesale Admin, updating spreadsheets, researching vehicle statuses, organizing arbitrations and transport to/from auctions, assisting service/recon/redemptions with locating vehicles, tracking engine warranty vehicles, pulling repo walk through reports, ordering keys to be made, updating discrepancies in idms, maintaining organization of overflow lots and keys, notifying 200 of PSI end dates, and maintaining IDMS system records.
Primary Responsibilities:
● Follow up on outstanding inventory items to ensure timely resolution.
● Provide backup support for the Sales Admin and Wholesale Admin as needed.
● Research vehicle status and update records accordingly.
● Prepare and maintain Excel spreadsheets for inventory tracking.
● Update spreadsheets and data logs with accurate information.
● Maintain and update the IDMS system to reflect current inventory status.
● Organize arbitrations and transport to/from auction to ensure we get reimbursed in a timely fashion.
● Assisting Service, recon, and redemptions with locating vehicles to ensure units are all accounted for and to ensure our customers are happy.
● Tracking Engine Warranty Vehicles to ensure we don’t have vehicles waiting for months to get a new engine put in
● Pulling repo walk through reports to ensure we evaluate all repossessed vehicles in a timely fashion.
● Ordering keys to be made by double checking there aren’t any extra keys.
● Maintaining organization of overflow lots and keys to ensure every vehicle is accounted for and ready to be sold.
● Notifying 200 of PSI end dates using ReconPro to ensure we don’t purchase a bad vehicle without the option of returning it to the seller.
● Duties change at the discretion of management
Qualifications and Education Requirements:
· Work required schedule of 8:30am – 5:30pm in Arlington, TX
· Intermediate user of MS Excel: Pivot tables, filters, conditional formatting, data validation, grouping and other basic functions
· Excellent verbal and written communication skills
· Excellent interpersonal and customer service skills
· Excellent organizational skills and attention to detail
· Excellent time management skills with a proven ability to meet deadlines
· Proficient with Microsoft Office Suite
· High school diploma or equivalent required
Job Type: Full-time
Pay: $18+ per hour
