The Front Desk Receptionist is the first point of contact for patients and visitors at the pediatric outpatient clinic. This role involves providing excellent customer service, managing patient flow, scheduling appointments, handling patient inquiries, and performing general office duties to ensure the clinic runs smoothly. The receptionist will interact closely with parents and caregivers, maintaining a welcoming and professional atmosphere for both patients and staff.Key Responsibilities:
Patient Reception:Greet patients, families, and visitors warmly upon arrival.Confirm patient appointments and provide relevant instructions or forms.Answer and direct phone calls in a timely and courteous manner.Verify and update patient information, including insurance details and demographic data.
Appointment Scheduling & Coordination:
Schedule and confirm patient appointments, ensuring accurate times and provider availability.Coordinate appointment changes or cancellations and maintain patient schedule efficiently.Provide reminders to parents/caregivers about upcoming appointments.
Administrative Support:
Collect patient co-pays, payments, and ensure accurate documentation.Prepare and maintain patient charts, files, and medical records in compliance with privacy regulations.Ensure smooth patient flow by working with medical staff to manage delays or changes in schedule.
Communication & Customer Service:
Handle inquiries from parents, caregivers, or other visitors, providing clear and accurate information.Provide emotional support and reassurance to parents, especially in sensitive or stressful situations.Communicate any concerns or special needs of patients to medical staff in a timely manner.
Office Organization:
Maintain a clean and organized front desk area.Ensure the waiting area is tidy, stocked with necessary materials, and welcoming.
Manage incoming and outgoing mail, faxes, and packages.
Insurance & Billing:
Collect and verify insurance information, including pre-authorizations and referrals.
Work with the billing department to ensure smooth and accurate processing of claims.
Assist families with insurance-related questions and concerns.
