Administrative Assistant in Real Estate and Multiple Businesses

The Administrative Assistant should be someone who is organized. They should be timely, responsible, and reliable. To qualify for this position, a minimum of two years of using Excel experience is required. The applicant should have strong communication skills to assist clients and staff. Will be responsible for seeing transaction from contract to closing.

Real estate transactions are extremely time sensitive.

Responsibilities:

Support staff in the maintenance, follow-up, and documentation of their transactions.

Keep files up to date in the Excell System

Follow up during the homebuying process to ensure the transaction closes on time.

Verify that all required signatures and initials are on the contract.

Verify that all required addenda are included with the contract.

Manage appointment and activity calendars

Create a summary sheet containing all parties’ contact information, the property address, and the property photo.

Send deadline reminders as needed throughout the transaction.

Send e-mails summarizing the status of the transaction and advising the agent of upcoming deadlines.

Ensure that all paperwork is provided to all parties.

Skills/Qualifications:

Strong Excell Skills-Bilingual a plus

Proficiency in Microsoft Office 365

Office Administration

Email Marketing and social media

Strong Communication Skills are a must
