A Real Estate Office Assistant: Provides comprehensive administrative support to the Real Estate office, including managing schedules, handling client communications, preparing marketing materials, maintaining databases, organizing files, and ensuring transactions are completed smoothly while adhering to relevant regulations, acting as a key point of contact for the team to facilitate efficient operations within the Real Estate Office
Key Responsibilities:
Appointment Scheduling: Coordinate and schedule client meetings, property showings, and other appointments with real estate agents.
Client Communication: Respond to client inquiries, update clients on transaction status, and maintain positive client relationships.
Document Management: Prepare and organize real estate documents such as purchase agreements, listing agreements, disclosures, and other legal paperwork.
Marketing Support: Assist in creating and distributing marketing materials like property listings, flyers, and online advertisements
Database Management: Maintain accurate client and property information within the real estate CRM system
Transaction Coordination: Track transaction progress, follow up on necessary steps, and ensure timely completion of closing documents
Office Administration: Manage office supplies, maintain filing systems, and handle general administrative tasks
Required Skills:
Excellent Communication Skills: Ability to interact effectively with clients, agents, and other stakeholders, both verbally and in writing
Organizational Skills: Efficiently manage multiple tasks and deadlines with attention to detail
Proficient in Microsoft 365, Real Estate CRM systems, Basic Graphic Design (Canva)
Customer Service Focus: Prioritize client satisfaction and provide excellent service
Knowledge of Real Estate Practices is a PLUS: Familiarity with basic Real Estate concepts is a PLUS
Bilingual in English and Spanish Preferred
Education and Experience:
Associate's degree in administrative support or related field preferred
Prior experience in Real Estate administration or a customer service role is beneficial
