The role demands courtesy, tact, and diplomacy in daily interactions with both the public and staff, as well as the ability to work independently in planning daily work activities. Key responsibilities include maintaining orders organized, preparing quotes, invoicing finished orders, and assisting in the preparation of monthly reports. The Administrative Assistant will also collect and verify statistical information, work with specialized software programs such as Sage and Quickbooks, and generate purchase orders using various PC applications including MS Word, Excel, Access, and Adobe Acrobat. Additionally, the role involves preparing memos and routine correspondence, managing departmental supplies, scheduling appointments, and handling travel arrangements for office personnel. The position also requires answering telephone inquiries, greeting visitors, and providing accurate public information about services and products.
