Executive Administrative Assistant (URGENT HIRE - START ASAP)

URGENT HIRE! Start within the week.Description:

Provide high-level administrative, project and personal support to the Executive Leadership Team, as well as other leaders as needed.

Demonstrates initiative, discretion and tact in managing email, phone calls and other requests. Ensures all correspondence is accurate, complete and properly handled.

Collect data and information for reports and presentations

Generate reports and insights to inform decision-making.

Work collaboratively with Finance and Accounting teams to provide accurate data

Look for areas of improvement for process efficiency

Stay “one step ahead” of the executives with their many commitments and events by providing confidential and exceptional assistance with organizing, managing and maintaining active calendars, and managing calendar conflicts.

Identify situations that require immediate escalation and exercise precise judgment.

Manage confidential business manners and correspondence.

Assures administrative detail on all projects and the statuses delegated to ensure progress to deadlines. Pursues opportunities to change and lean out processes and approaches.

Additional Skills & Qualifications:

Effective representative of the business and of the teams; will often greet clients, vendors and officials

Act as liaison between the leaders and members of the company, external vendors, and others as required.

Ability to prioritize and manage a wide range of competing tasks associated with the needs of a Group Executive.

Strong relationship and partnership building skills. Demonstrated ability to engage with a wide range of stakeholders and high profile organizations.

Strong organizational and time management skills.

Effective communication and interpersonal skills.

Excellent verbal and written communication skills.

Proficiency in using office software (Microsoft Office Suite, Google Workspace, etc.).

Attention to detail and a high level of accuracy.

Ability to create, maintain and/or generate various office or status reports, spreadsheets, databases, PowerPoint presentations and/or charts.

Ability to multitask and prioritize tasks effectively.

Professional and friendly demeanor.

Previous administrative or office experience is preferred.
