Bryson Sales and Service Inc. is a family-owned and operated full-line Blue Bird and Micro Bird bus dealership located in Woods Cross, Utah. Bryson’s, established in 1969, is seeking a highly detailed, motivated, personable individual to join our team as an Office/Accounting Assistant.
JOB SUMMARY: The Office/Accounting Assistant is responsible for the administrative functions of the office, ensuring procedures are documented, policies are implemented, and administrative systems are operating effectively, and efficiently. They maintain accurate accounts receivable/payable records, processing activity per established procedures and support the Accounting/HR manager.
RESPONSIBILITIES:
Answer phones, directing calls to appropriate staff
Collect mail and distribute.
Process customer payments, daily check deposit and credit card transactions.
Enter A/P invoices not handled by other departments.
Coordinate delivery of document packets to affiliate company.
Work with the accounting department to resolve issues, improve processes and provide backup.
Ensure new employees are set up with e-mail, computers (if applicable), access to systems, etc. prior to their start date.
Distribute alarm code to new employees.
Coordinate employee drug testing program.
Assist the HR Manager with new employee onboarding. Also distribute and collect employee information and documents as needed. Facilitate interaction between employees and the HR Manager. Communicate any potential issues to HR Manager.
Help coordinate staff events.
Provide documents and clarification for company and bus audits
Help maintain the company calendar, tracking company events, etc.
Track company leases and contracts
Track and tag company assets/property
Renew Dealer, Salesmen, and Business Licenses yearly.
Coordinate with Service manager to ensure that drivers are available and scheduled for all necessary local bus pick-up and delivery, new and service.
Oversee and manage CDL drivers in accordance with Federal, State, and local regulations.
Handle all required titling and licensing of vehicles sold, as well as Bryson’s fleet vehicles.
Register buses once they have been put in service.
Maintain accurate records of all buses on-site and sold through our dealership.
Prep for meetings and events when needed e.g., setting up, goodies, clean-up.
Data entry and report generation for internal departments and employees.
Account coordinator and contact for outside services.
Maintain sufficient level of office/bathroom supplies, ordering when necessary.
Manage all office equipment needs, maintaining information and maintenance files, and ensure equipment is in working order.
Manage and maintain the Customer database of all mailing lists, physical and electronic.
Perform other assigned duties on an occasional basis that are in the best interest of the company and/or employee.
REQUIREMENTS:
Excellent communication skills, both verbal and written.
Ability to interact professionally across all departments within the company as well as with customers, vendors, and the public.
Ability to plan, prioritize and complete projects within deadlines.
Basic understanding of Accounting, A/R and/or A/P.
Knowledge of administrative and clerical procedures
Strong organizational skills
Proficient in Microsoft Office Suite (Word, Excel & Outlook).
Able to navigate the internet and manage databases.
Experience in and knowledge of vehicle licensing and legal requirements in UT, NV, and ID preferred
Bondable
Licensed notary public or ability to obtain.
Valid driver license with a clean driving record for the past 3 years
Must be 20 years old or older, for insurance purposes
Minimum of 2 years of related experience required.
COMPENSATION AND BENEFITS:
$17-$20 per hour
Full-time position
Weekends Off
Monday – Friday (8:00am – 5:00pm)
