Position Summary: High Mowing Organic Seeds is seeking an Accounts Receivable and Payroll Specialist to join our team. This hybrid position offers a flexible work model, allowing you to work remotely and in person a few days a week. We are looking for a dedicated professional in the Vermont area who is excited about contributing to our mission and values and eager to work with a team passionate about food farming and the environment. This role is responsible for performing bi-weekly payroll and bookkeeping duties, including but not limited to accounts receivable, account reconciliations, miscellaneous accounting duties, and helping with special projects.
Responsibilities:
Accounts receivable:
Apply payments to customer accounts and create deposit records in the system
Prepare bank deposits
Run weekly A/R aging reports to review customer past due accounts and contact
past due customers following our credit policy email and phone
Email/Fax/Mail invoices for customers with terms weekly
Facilitate payment of invoices due by sending statements and calling customers
Respond to all external or internal questions concerning customer accounts (i.e.
credits, refund information)
Process Customer Refunds, respond to sales task requests, in accordance with the
sales refund policy.
Oversee customer's request for terms by sending out credit reference request
Process timely reconciliations for Gifts Certificate and Community Supported
Seeds between two applications
Biweekly payroll:
Gather timesheets on hours worked for each hourly employee
Process payroll using Evolution Software
Updates payroll records by entering changes in exemptions, insurance coverage,
savings deductions, and job title and department/division transfers.
Calculate the correct pay incorporating overtime, deductions, mileage, etc. with
the assistance of the Evolution Software
On/Off Board Employees in Evolution Software
Periodically assist with setting up new business accounts for remote employees'
states
Forward all payroll tax-related documents to the payroll processing company
Promptly answering employees’ questions and concerns regarding payroll and
benefits
Prepares reports by compiling summaries of earnings, taxes, deductions, leave,
disability, and nontaxable wages.
Resolves payroll discrepancies by collecting and analyzing information and
interacting with HR.
Miscellaneous accounting duties:
Enter FedEx and UPS weekly bills
Create Seed Sales reports for seed dealer licenses
Assist with weekly printing of A/P checks, and mailing
Month-end reconciliations of company credit cards
Other duties and special projects as assigned
Required skills and qualifications:
Proven working experience in payroll and accounts receivable
Able to maintain employee and company confidentiality
Proficiency in Office 365 and advanced Excel functions
Self-direction
Excellent time management abilities in a fast-paced environment
Attention to detail and deadline-driven
Strong math, verbal, and written communication skills
Interest in organics, agriculture, and being a part of a growing company and
industry
Ability to work well in a team environment that promotes inclusiveness and
communication among team members
Preferred skills and qualifications:
Associate degree preferred or bookkeeping/payroll certificate
Experience with Asure/PayData Evolution Software
Proficiency with Acumatica or one of the commonly used accounting ERPs such
as NetSuite
Interest in driving process improvement
Reports to: Accounting and Human Resources Manager
