The Customer Service Representative is responsible for green coffee contracts necessary for company operations, and act as a liaison between the purchasing department, the sales team and management to ensure timely delivery of properly specified coffee, and ensure delivery terms, certifications, brokers fees and other fees associated with the procurement of coffee are recorded and booked according to company policy.
KEY DUTIES:
Capable of analyzing and evaluating information to make necessary decisions and will also be expected to make certain that Purchasing documents are properly completed and the terms and conditions of purchases are appropriate
Assure that department records are maintained and that purchases are followed up on or expedited when required
Maintain all records for certifications
Supply customers with any requested/needed certification documentation
Support annual certification audits Check price histories on a regular basis to provide information on price variances
Create Purchase Orders and finalize purchases as directed and approved by Management
Acts as backup to Manager for invoice selection and wire requests
Perform all duties with focus on the customer's success
Track each purchase through delivery and invoicing
Maintain organized filing system
Supports all internal and external audit requests
Develop and ensure reporting is complete and accurate
Coordinate with all manufacturing/distribution activities relating to meeting customer needs
Follow existing defined processes; proactively work to improve processes. Make suggestions to management as appropriate.
Research prior purchase histories, as needed
Every employee has a responsibility to report employee safety, food safety and/or quality concerns to their Supervisor/Manager immediately upon identification.
Perform all other related duties as assigned
POSITION SKILL/COMPETENCY:
Attention to detail is required
Ability to follow processes and understand SOP's a must
Must be proficient with Excel, Word, Outlook and data entry.
Ability to function with minimal supervision
Individual must be a motivated, self starter who is able to work in a fast paced environment
Problem solving skills and a desire to learn and develop are critical.
REQUIRED QUALIFICATIONS:
College degree is preferred
