Executive Assistant & Office Manager

Position Summary:

The Executive Assistant and Office Manager is a dynamic and energetic role that is central to internal communications, support for the Executive Director, and the management of daily administrative duties necessary to meet VHCB’s mission. The Executive Assistant and Office Manager is responsible for managing board operations and office systems, is the chief aid for the VHCB Executive Director, and also supports the Director of Human Resources and Administration as well as the VHCB Management Team. This role is essential to the Organization’s well-being and continued operations, and engages with all staff and programs within the organization.

The Executive Assistant and Office Manager will:

Oversee the effective and efficient day-to-day operations of the office;

Lead administrative support of the organization;

Supervise and support the VHCB Administrative Coordinator;

Support organization-wide communication systems;

Maintain supplies and office equipment;

Support board meetings and organization events;

Coordinate general logistical activities.

Qualifications:

Committed to supporting VHCB’s mission;

Two to three years’ experience in office management or administrative support;

Proficient with Microsoft Office software with an aptitude for learning new software and systems;

Strong time-management and people skills, high degree of flexibility, excellent multitasking ability, and able to work well under pressure and meet deadlines;

Excellent oral and written communication skills;

Ability to maintain confidentiality of organizational information;

Experience in developing internal systems;

Dedicated and motivated team member;

Able to model professional and positive behavior both internally and toward the public;

Able to read and discern written errors on paper and electronic documents;

Budgeting skills to support office expenses;

Highly organized and file management skills to maintain organized records and documents;

Vendor management skills and ability to negotiate contracts and maintain vendor relationships;

Ability to travel statewide for meetings and conferences.

Compensation: $68,000 - $72,500 commensurate with experience. Excellent comprehensive benefits package including generous health care plan, dental coverage, life insurance, long- and short-term disability insurance, retirement plan, paid time off, employee assistance program, and more.
