POSITION: FACILITIES MANAGER
REPORTS TO: EXECUTIVE DIRECTOR
FLSA STATUS: EXEMPT
JOB SUMMARY:
The Facilities Manager ensures the Sana at Stowe facility is safe and fully functioning. This includes coordinating and managing all emergency and planned repairs. The Facilities Manager maintains all state and Joint Commission facility standards. The Facilities Manager is the primary point person for all facilities related issues, requests, and emergencies.
RESPONSIBILITIES:
Resolve all maintenance and repairs issues and requests.
Work cohesively with members of all departments within Sana at Stowe to resolve all maintenance requests and issues.
Manage mechanical, electrical, plumbing, landscaping, carpentry, and janitorial vendors and negotiate best rate.
Conduct monthly inspections of all locations to ensure safety and quality standards, as well as monthly Environment of Care (EOC) requirements are met.
Coordinate and communicate with vendors, including but not limited to: HVAC systems, sewage, pest control, landscaping, trash removal, security systems, fire safety, electrical, janitorial services, plumbing, carpentry, and all other vendors as they relate to facility and environment.
Manage vendor contracts and quotes, including but not limited to: HVAC systems, sewage, pest control, landscaping, trash removal, security systems, fire safety, electrical, janitorial services, plumbing, carpentry, and all other vendors as they relate to facility and environment.
Coordinate with leaseholders.
Complete monthly expense report to align with monthly budget.
Manage, review, and approve invoices to align with monthly budget. Ensure vendors are paid in a timely manner.
Work closely with Executive Director and Accounts Payable to manage expenses.
Manage vehicle maintenance, repairs, and monthly checks.
Respond to non-emergency facility maintenance and repair requests in a timely manner.
Works with State and Joint Commission to ensure compliance with all current standards as well as local, state, and federal codes.
Attend management meetings with Quality Assurance staff and Executive Director to update about facility maintenance and issues.
Responsible for management of facilities including making decisions on when repairs vs. purchases are appropriate.
Manage facility access and security.
Facilitate staff training regarding fire and environmental safety.
Participate in emergency planning for inclement weather events.
Daily office and administrative tasks.
Adherence to all Sana at Stowe policies and procedures.
Attend all required training and staff meetings in accordance with Sana at Stowe policy.
Demonstrate skills at being an outstanding team member. This will include conduct that always recognizes and supports the primacy of team needs, agendas, and priorities over individual ones.
Excellent interpersonal skills, ability to multi-task, ability to maintain healthy and appropriate boundaries, utilization of computer for documentation and communication, ability to be a proactive team player, and able to present the agency well.
On-Call 24/7 for emergency and repair directives.
May include supervisory responsibilities.
Other duties as assigned.
QUALIFICATIONS:
High school diploma or GED (preferred).
CPR Certification.
Valid drivers license and clean driving record.
2+ years’ experience in general maintenance and repair work.
Knowledge and experience with state licensure, Joint Commission standards, local, state and federal codes, and fire safety (preferred).
Ability to track expenses and stay within budget.
Ability to manage vendors.
Experience managing small to medium sized multi-trade projects.
Must be able to travel to all locations routinely.
Excellent communication and organizational skills.
PHYSICAL REQUIREMENTS / WORKING CONDITIONS:
Ability to lift 75 pounds.
Ability to climb ladders.
Bending at waist, sitting, kneeling, climbing, walking, crouching.
Ability to work in extreme temperatures and inclement weather.
Repetitive use of a keyboard at a workstation.
Ability to adjust to increased workloads.
Working in various noise levels.
Exposure to fumes, chemicals, sprays, and commercial items found in standard office conditions, medical clinics, and repair and maintenance environments.
Must be able to complete tasks wearing appropriate safety equipment (i.e. back belts, goggles, masks, gloves, PPE, etc.).
