This role plays a crucial part in streamlining processes, facilitating communication, managing schedules, and assisting with key projects across the operations function, enabling the COO to focus on strategic initiatives.Job duties include:
Manage the COO’s near- and long-term schedule, ensuring efficient time management, prioritizing key tasks and meetings, proactively and appropriately addressing conflicts based on shifting priorities.
Serve as the primary point of contact and liaison between the COO and internal departments, external vendors, and leadership teams, ensuring seamless communication facilitating collaboration between departments to ensure timely progress on shared goals and smooth day-to-day activities.
Draft and proo documents on behalf of the COO, ensuring clarity, professionalism, and accuracy.
Organize and coordinate meetings with internal personnel and external stakeholders, preparing detailed agendas, compiling required documents, and briefing the COO prior to key meetings.
Attend meetings to take minutes, track action items, and coordinate follow-up on key deliverables.
Organize meetings and logistics and ensure all necessary arrangements are made specific to the COO group, including team retreats, department planning sessions, and leadership off-sites.
Coordinate all business travel for the COO, ensuring itineraries are detailed, aligned with and optimized for budget and schedule constraints and operational priorities.
Plan, organize, and coordinate all logistics for on- and off-site events specifically for the COO group, including leadership team workshops, planning sessions, operational reviews, departmental meetings, and strategy sessions, including all venue, catering, travel, and material requirements
Support the COO by assisting in cross-departmental initiatives and coordinating key operational projects by gathering data; tracking progress, deadlines, and deliverables; preparing reports, and keeping leadership informed of project milestones and challenges.
Manage, organize, and assist in preparing all key files, documents, and reports relevant to the COO’s office, including reports, presentations, and proposals, ensuring all materials are accurate, accessible, and professionally produced and presented.
Handle sensitive and confidential information with the highest level of professionalism and discretion, including business strategies and personnel matters.
Oversee administrative functions within the COO’s office, ensuring operational needs are met, including office supplies, equipment, and general administrative tasks.

Have proven experience in an administrative or coordination role, ideally within operations or supporting senior leadership.
Ability to work independently, take initiative, and handle high-pressure situations with poise.
High level of professionalism, discretion, and attention to detail.
Strong problem-solving skills and a proactive approach to anticipating needs.
Demonstrate excellent written and verbal communication skills.
Possess strong organizational and time management skills, able to effectively manage multiple tasks and priorities.
Be proficient in office software (e.g., MS Office, Google Workspace) and familiar with scheduling and project management tools.
Exceptional candidates will:
Possess proficiency in Chrome River, Ceridian, and Pentagon ERP systems (Preferred)
Be familiar with or have expertise in Microsoft Project Scheduling and Pentagon ERP system
