Responsibilities:
This position is responsible for coordinating with other administrative staff and providing support to the Operations area. In particular, documentation will be compiled both remotely and onsite at state Medicaid offices.
Specific Tasks:
Pull appropriate screens from various state Medicaid systems to provide a complete packet to be used for data processing reviews. For some states, this can be done remotely. For other states, travel to the Medicaid offices is required
Review emails for PHI/PII content in accordance with HIPAA requirements and release unsecured emails to external recipients
Accept direction from internal staff on completing tasks as needed. Work well with corporate staff and utilize resources available to accomplish assignments
Be comfortable working with numerous systems and databases that vary by state
Identify information relevant to data processing reviews and properly store documentation for future use by data processing staff
Work independently to solve problems and meet goals
Type a variety of correspondence, meeting minutes, reports, records, requisitions and other office documents from rough drafts, notes and oral instructions
Assist and review the work of employees engaged in procedural typing and clerical duties
Assist in data entry and tracking of data
Perform administrative tasks in the editing of new and continuing reports which may be of a highly confidential nature
Maintain administrative records, ensuring confidentiality and standard filing methodology
Use initiative, discretion, and good business practices
Maintain chain of custody on all documents and follows all confidentiality and security guidelines
Complete assignments in a manner that meets or exceeds the quality assurance goal for accuracy
Perform other related duties as assigned
Administrative Specialist Position Requirements:
Education (general level if required) or specific courses
High school diploma or G.E.D.;
Certificate or diploma from an accredited institution in a business related field preferred.

Ability to plan and manage multiple assignments and projects and adjust to changing priorities
Proficiency with MS Office and Excel software
Effective communication skills
Knowledgeable of the federal contract and procurement regulations, and relevant contract and proposal requirements

Organized and able to work in fast-paced environment
Experience (If needed, describe kind & amount) Minimum of four (4) years experience in an office environment performing multiple tasks with increasing responsibility
