Our theologically liberal Virginia Beach congregation is seeking a part-time Event Coordinator with strong communication skills. This position requires patience and flexibility, as well as the ability to work independently and treat all respectfully and courteously. Coastal Virginia Unitarian Universalists (CVUU) is interested in obtaining rentals of meetings, conferences, and events throughout the year for internal and external partners. We’re looking for a highly skilled event coordinator who can help make these gatherings consistently efficient, cost-effective, and memorable. The ideal candidate will be able to evaluate and negotiate with vendors, collaborate with our rental team in drafting contracts, and manage communications with attendees, speakers, and clients alike. Above all, the event coordinator must be comfortable in a leadership role that demands a creative, business-driven mindset and lasting relationships with vendors.
The event coordinator is responsible for renting out our property and assisting outside and internal tenants with their needs:
Meeting potential renters and guiding them on tours of available spaces
Following up on leads for potential renters
Preparing rental contract documents for potential renters using property standards and regulations
Handling the collection of rental payments, security deposits
Keeping residents informed of any changes to rental agreements or upcoming property issues
Building a rapport with current tenants to give them personalized service
Keeping an eye on community facilities such as bathrooms, entrances and exits.
Develop a complete understanding of the requirements for every event
Lock down day-of logistics
Excellent organizational, communication, negotiating, and multitasking skills
Ability to remain calm under pressure and maintain a customer-service mindset
Advanced knowledge of Word and Excel, sign-up genius and other relevant software
Reliable transportation, computer skills and phone are a required
