A local nonprofit is seeking a Sales Administrative Assistant to provide clerical and operational support to our Executive staff and Board of Directors.

Job Duties/Expectations:

Greet Members/Guests: You may be the first person that a member/guest meets whether by phone or in person. Assisting members with merchandise, registering for an event or an urgent need.

Coordinate/Maintain Gift Shop: In person and online member benefit of a gift store sales. Processing payments and closing out of daily batches.

Administrative Support: Provide support to senior leaders including e-mail correspondence generating documents and managing calendar(s). Support may include assistance with conferences, presentations and special projects.

Office Supplies: Order and manage office supplies and food deliveries.

Document Preparation: Create correspondence, presentations and reports.

Social Media: Creating, posting and updating social media platforms.

Equipment Operation: Operate and maintain office equipment, such as printers, copiers and postage meters.

Meeting Planning: Demonstrated experience planning, organizing and scheduling meetings which may include making travel arrangements.

File Management: Management of digital data as well as the use of software to safely store and retrieve data when necessary.

Research: Duties include compiling and summarizing information for reports and presentations.

Collaborate: Work closely with and support other administrative staff and colleagues.

Operational Support: Requires full engagement in all activities of the organization to ensure that the organization’s goals and objectives are met at all times.

Skill Requirements:

Hard Skills: Proficiency in office software, for example, Microsoft Office and Google workspace.

Soft Skills: Excellent communication abilities, interpersonal skills and the ability to work well with others.

Time Management: The ability to stay on top of tasks and to meet deadlines, and to organize daily, weekly and monthly agendas.

Attention to Details: The ability to be accurate and to pay close attention to details.

Organization Skills: The ability to be organized and to maintain files.

Communication Skills: The ability to speak and share clear messages and to listen actively to understand the speaker’s message.

Problem Solving: The ability to solve problems on your own before asking for help.

Customers Service: Provide members with good customer service. Meet and exceed members’ expectations, leaving our members feeling valued and heard

Multitasking: The ability to perform and to manage more than one duty or assignment at the same time while being interrupted. To respond to the needs of staff members, board members or members.

Confidentiality: The ability to handle confidential information securely.

Prioritization: The ability to prioritize work and manage other staff member’s calendar.

Teamwork skills: The ability to collaborate effectively with others.

Educational Requirements: It is requested that you have prior work experience, an administrative certificate or an associate’s degree.

Driving Requirement: There will be occasional travel and overnight stays. A valid Driver’s License is required.
