Conference Planning Intern

Mission Statement: SPIE partners with researchers, educators, and industry to advance light-based research and technologies for the betterment of the human condition.

Paid internship, $19.00/hour, 15-20 hours per week, flexible around your class schedule.

Description of duties: Join our Events and Meetings Team to support the planning and execution of conferences and events. In this role, you’ll assist with a variety of logistical and administrative tasks, working closely with the Manager of Meeting Coordinators and collaborating with staff across multiple departments.

You’ll gain valuable, hands-on experience in all aspects of event planning — including hotel logistics, audiovisual setups and requirements, shipping coordination, project management, process documentation, sustainability research and much more!

This internship is an excellent opportunity to work alongside experienced professionals, strengthen your problem-solving abilities, and build practical skills in Excel, Word, and project timeline management.

Education & Experience Requirements

1. Two-year degree, or current college/university student with at least two years of completed coursework — ideally studying event management, project management, or a related field.

2. Proficiency in Microsoft Excel, Word, and Outlook; experience with databases is a plus.

3. Strong attention to detail, excellent organization, and effective interpersonal communication skills.

4. Interest or experience in event planning, coordination, and logistical support preferred.

Location: Physical work location in Bellingham, WA. Applicants must be currently authorized to work in the United States on a full-time basis. The employer will not sponsor applicants for work visas.
