Position Overview:
The Events and Administrative Assistant will be a key contributor to both the event and administrative operations of the DBP. In this role, you’ll ensure our organizational processes run smoothly while supporting the successful execution of community events. Your contributions will enhance the efficiency, productivity, and impact of our work.
Reports To: Community Engagement Manager
Hours: Full Time (35-40 hours a week)
Job Types: Non-Exempt
Dates: Starting Jan 8th , 2025
Rate: $19 an hour, PTO (up to 30 days annually), 33% employer-paid health insurance, and retirement account options
Responsibilities:
1. Event Coordination:
Be an essential part of our event success! Assist with planning logistics, from coordinating with vendors and securing permits to organizing equipment rentals, event supplies, and managing printing projects.
Spread the word by distributing eye-catching promotional materials like event posters and handbills, ensuring everyone knows about our amazing events.
Play a key role in bringing events to life—help with event set-up, tear-down, and staff the festivities. This could include managing enthusiastic volunteers at Wine Walk, overseeing Scepter Award raffle tables, and collaborating with partners at Commercial Street Plaza.
Engage with our dedicated volunteers, ensuring they’re empowered and ready to create memorable experiences.
2. Administrative Support:
Be the heartbeat of our organization by managing our master calendar, keeping the team in sync for meetings, events, and outings.
Take ownership of office supplies and snack ordering, ensuring the team always has what it needs to stay productive and energized.
Get out of the office regularly with weekly trips to the post office and bank, offering a change of scenery while keeping our operations running smoothly.
Organize and streamline our digital and physical files, playing a key role in maintaining an efficient workspace by managing the shared drive and key documents.
Put your attention to detail to work by tracking event attendance and donor information, ensuring that our data is accurate and up-to-date.
Make an impact behind the scenes by supporting day-to-day correspondence and helping the team stay focused and organized.
Required Skills and Qualifications:
Excellent communication and people skills
Self-motivated and reliable
Ability to manage multiple projects with meet deadlines
Ability to accomplish tasks independently
Proficient with Office 365
Additional Requirements:
Some tasks require the ability to lift and move equipment up to 50 pounds.
