We’re looking for an organized and dependable Office Administrator to support daily operations, customer communication, scheduling, basic accounting tasks, and back-office workflows. This is a key position that keeps the office running smoothly and supports both field technicians and management.
Position Summary
The Office Administrator supports the day-to-day operations by handling customer calls, scheduling, job entries, billing support, electronic filing, vendor coordination, and administrative tasks. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities.
Key ResponsibilitiesCustomer Service & Scheduling
Answer incoming calls and route messages to the correct team member
Schedule jobs, service calls, and inspections
Communicate with customers regarding appointment details, updates, or follow-ups
Maintain a friendly, professional tone representing the company.
Administrative Support
Organize digital files, customer records, and project documentation
Assist with processing new job entries into software systems
Prepare and send estimates or proposals when needed
Order office supplies and manage inventory levels
Billing & Accounting Support
Match invoices with work orders
Assist with entering vendor bills into QuickBooks (or Housecall Pro workflows)
Reconcile receipts and help maintain accurate financial records
Support payroll preparation by collecting technician timesheets
Field Technician Support
Coordinate material pickups or deliveries when requested
Assist with permit applications or inspection scheduling
Create job folders and track progress updates from technicians
Office Operations
Maintain a clean, organized workspace
Help streamline processes and support company growth initiatives
Perform other tasks as assigned to support the owners and office manager
Required Skills & Qualifications
1+ year of administrative or customer service experience
Strong phone, communication, and people skills
Basic knowledge of QuickBooks or willingness to learn
Ability to stay organized while managing multiple tasks
Comfortable with technology, apps, and digital tracking
Reliable, punctual, and able to maintain confidentiality
Preferred (Not Required)
Experience in a construction or trade-based office
Familiarity with permitting processes or service scheduling software
QuickBooks experience
