Description We are seeking a skilled and detail-oriented Payroll Specialist to join our HR and Finance team. This role provides a great opportunity for an individual with a passion for payroll administration to contribute to the smooth functioning of our payroll processes while ensuring accuracy and compliance.Position Overview:The Payroll Specialist will be responsible for managing the end-to-end payroll process for the company’s employees, ensuring timely and accurate processing of payroll, benefits, and deductions. This position requires in-depth knowledge of payroll systems, tax laws, and employment regulations. The ideal candidate will be highly organized, proactive, and have excellent problem-solving and communication skills.Key Responsibilities:
Process weekly, bi-weekly, or monthly payroll for all employees in accordance with company policies and government regulations.
Ensure accurate calculation of wages, commissions, bonuses, and overtime.
Manage employee deductions, including taxes, benefits, retirement contributions, and garnishments.
Reconcile payroll data to ensure accurate payroll entries.
Maintain and update employee payroll records, including new hires, terminations, and changes in pay.
Prepare and submit payroll tax filings, ensuring compliance with federal, state, and local tax regulations.
Respond to employee inquiries regarding payroll-related questions and concerns.
Prepare and distribute payroll reports to management, HR, and accounting teams as needed.
Ensure compliance with labor laws and company policies, and stay up to date with changes in payroll-related regulations.
Assist with year-end payroll activities, including tax form preparation (W-2s, 1099s).
Coordinate with HR for accurate tracking of paid time off (PTO), sick days, vacation accruals, and other leave policies.
Assist in the implementation of payroll system upgrades or changes as needed.
Requirements
Qualifications:
Proven experience as a Payroll Specialist or similar role in payroll administration.
In-depth knowledge of payroll software (e.g., ADP, Paychex, QuickBooks) and Microsoft Excel.
Familiarity with payroll tax regulations and employment laws.
High attention to detail and strong organizational skills.
Ability to handle confidential and sensitive information with discretion.
Strong problem-solving skills and ability to troubleshoot payroll discrepancies.
Excellent communication skills, both written and verbal, with the ability to explain payroll-related information clearly to employees.
Ability to work under pressure and meet deadlines in a fast-paced environment.
Associate's degree in Accounting, Business, or related field preferred (or equivalent work experience).
CPP (Certified Payroll Professional) certification is a plus, but not required.
