Administrative Coordinator

OverviewIn this position, you will work closely with the Grid Storage Launchpad (GSL) director and GSL director of operations. GSL’s goal is to accelerate the development and deployment of next generation grid storage technologies through systematic and independent validation - from basic materials and components to prototypes that enable technologies that are safer, more cost effective, and more durable. Strategic funding from the State of Washington, Battelle and PNNL provide further support for GSL equipment and research and development activities that complement the DOE OE investment. As PNNL's newest state of the art facility, you will work closely with the GSL director and other in hosting multiple visits. The GSL facility will foster collaboration between national labs and other stakeholders to support OE’s mission, the Energy Storage Grand Challenge, and the Long Duration Storage Shot.For more information on GSL, please review: Grid Storage Launchpad at PNNL (https://www.pnnl.gov/grid-storage-launchpad-pnnl)ResponsibilitiesPerforms administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving, and directing visitors, word processing, and creating spreadsheets and presentations. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders. Key responsibilities and attributes for the position are as follows:

Ability to manage email with a high degree of speed and accuracy.

Manage multiple schedules and work with peers in creating efficient and effective calendars.

Coordinate and manage travel requests and processing for staff, including booking and expensing travel.

Strong written and verbal communication skills. Ability to articulate standard policy and procedures to multiple audience levels.

Requires a working knowledge of commonly used computer applications such as Microsoft Office Suite, internal software, and internal lab business systems.

Basic understanding of departmental and company policies, procedures, and practices. Understands internal software programs.

Track and purchase supplies and equipment using purchasing system tools in accordance with PNNL policies.

This person will also serve as a member of the administrative team among the Energy Processes and Materials Division.

QualificationsMinimum Qualifications:

High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-

AA degree or higher and 4 years of relevant experience in an administrative environment

Experience in planning meetings and coordinating travel

Preferred Qualifications:

Working knowledge of departmental and company policies, procedures, and practices.

Provides suggestions for process improvements. Independently prioritizes and organizes work.

Routinely takes initiative with respect to their everyday work.

Prepares, proos, and edits written correspondence and documents.

Coordinates group events, off-sites & activities; including coordination of all logistics for event/meeting.

Plans Meetings.

Prepares agendas for staff or team meetings, publishes minutes and action items & follows up on delegated actions.

Interfaces with group personnel and sponsors.

Coordinates complex travel for employees and visitors.
