Event Coordinator/Host position

Position Overview:

We are seeking a dynamic, organized, and personable Event Coordinator/Host to oversee the planning, coordination, and execution of events while serving as the welcoming face and primary point of contact during events. The ideal candidate will excel in event logistics, communication, and hospitality, ensuring a seamless and memorable experience for all attendees.

Key Responsibilities:

Event Planning & Coordination:

- Collaborate with owner & cast to understand event objectives, themes, and requirements.

- Develop detailed event plans, schedules, and budgets.

- Coordinate logistics: venue setup, décor, costume, audiovisual needs, catering & hotel/transportation.

- Ensure compliance with safety, legal, and regulatory requirements.

Event Hosting:

- Serve as the primary on-site host and point of contact for guests, vendors, and staff.

- Welcome attendees with professionalism and enthusiasm, addressing inquiries and ensuring a positive guest experience.

- Facilitate event flow, including making announcements, introducing speakers/performers, and managing transitions.

- Handle unexpected situations or last-minute changes with grace and efficiency.

Team Management:

- Supervise event staff, volunteers, or contractors, ensuring clear communication and task delegation.

- Conduct pre-event briefings to align team members on expectations and responsibilities.

Post-Event Tasks:

- Oversee teardown and cleanup, ensuring the venue is returned to its original condition.

- Collect feedback from attendees, cast, and team members for continuous improvement.

- Prepare post-event reports, including budget reconciliation and performance metrics.

Qualifications & Skills:

- Experience: Proven experience in event planning, coordination, or hosting (2+ years preferred).

- Communication: Strong verbal/ written communication skills; ability to engage/captivate an audience.

- Organization: Exceptional multitasking, time management, and problem-solving abilities.

- Interpersonal Skills: Personable and approachable with a customer-focused mindset.

- Technical Knowledge: Familiarity with audiovisual equipment, and proficient with Excel and Word.

- Flexibility: Thurs – Sun 10 - 4pm & must be able to work weekend evenings for future projects.

- Knowledge of local venues and event industry trends.

Physical Requirements:

- Ability to stand, walk, and engage with guests for extended periods.

- Capacity to lift and carry event materials up to 28 lbs.

Compensation & Benefits:

- Hourly rate of 23.00+ per hour DOE
