The Role
We’re seeking a highly organized, detail-oriented and dependable Administrative Assistant to support our ownership, management operations and marketing functions within the company. This is a high-impact, behind-the-scenes role perfect for someone who thrives in a dynamic and collaborative environment.
Key Responsibilities
Maintain accurate and confidential employee records
Assist with hiring processes: creating and posting open positions, tracking all applicants and resumes, screening applicants, coordinating interviews and follow up with interviewees
Manage onboarding of new employees: collect and organize new hire documentation, set up accounts, schedule training
Collect and communicate staff schedule preferences to management
Utilize Posabit (point-of-sale) and Alpine IQ (customer loyalty and marketing) for reporting and campaign coordination
Provide administrative support to ownership and upper management
Assist in marketing efforts including customer engagement reports, promotion setup, and event logistics
Serve as a central point of communication for inter-store updates and internal team support
Return phone calls/emails on behalf of the company
Attend weekly management meetings via Teams
Preferred Qualifications
2 or 4-year degree in Business Admin, Communications or equivalent
2+ years of administrative experience, preferably in a professional atmosphere
Experience with Docusign, Humanity, Posabit, and/or Alpine IQ is a strong plus
Must be proficient in Microsoft Office 365, including Excel, Word, Teams, Outlook, and Forms
Organized and proactive with excellent time management and attention to detail
Strong written and verbal communication skills
Ability to work well with teams and independently
Experience with hiring coordination or recruiting
Interest in retail marketing or customer experience is a bonus
Ability to maintain confidentiality and handle sensitive information professionally
