2nd year: $43.91 per hour

Parts and Maintenance Coordinator

Overview

Under the general supervision and direction of the District's Fleet Supervisor, the Parts & Maintenance Coordinator supports fleet operations by collaborating with the Fleet Shop Foreman and fleet staff to perform a wide range of operational support functions as well as overseeing and coordinating with the District's parts and inventory contractor to ensure the efficient and timely supply of parts & materials to the Fleet Services garages. This position may occasionally require working various shifts and responding to callouts in accordance with the Collective Bargaining Agreement.

Responsibilities

- Coordination with and oversight of parts contractor - review and reconcile contractor invoices. Act as intermediary between technicians and contractor to streamline parts identification, reduce technician downtime, and improve wrench time and efficiency. Review and process all internal and external parts related invoices in Maximo and PeopleSoft systems.

- Perform various Maximo data entry and corrections tasks, including updating parts information, work order changes, and correcting meter entry errors. Collaborate with the parts contractor to ensure all warrant able parts are credited to the corresponding work order asset. Track warrant able repairs parts being installed. Use PeopleSoft and SharePoint to perform tasks such as creating travel authorizations and vendor Hydro access forms.

- Inventory, control and tracking of fleet vehicle keys. Maintain and update vehicle and equipment manual libraries to ensure accuracy and accessibility. Update shop diagnostic equipment as directed by fleet supervisor.

- Obtain and maintain Safety Data Sheets (SDS) records and related documentation for hazardous materials used in Fleet operations. Follow all safety and environmental policies and procedures. Conduct fire extinguishers inspections and collaborate with the Safety department to develop safety training programs as directed by Fleet Supervisor.

- Research and obtain quotations for shop tools, equipment & materials. Locate and acquire on-demand materials that require the immediate acquisition, process purchase requisitions and purchase order releases, and ensure timely procurement of needed parts and supplies.

- Verify in Maximo that vendor-provided services directed by the fleet supervisor are properly attached to the corresponding asset work order. Assist the fleet supervisor and shop foreman in scheduling equipment and vehicles for vendor-performed services, as directed. Coordinate and administer the surplus process for overstocked and obsolete parts and equipment to maximize return on investment, in accordance with District policies.

- Operate District vehicles for pickup and drop off of vehicles, equipment, materials, product and tools, between vendors, satellite/repair shops, and surplus yards. Perform service truck inventories, supply replenishment, and maintain required records. Ensure Fleet shop Parts rooms, and work areas are kept clean, organized, and in good working condition.

- Maintain regular and predictable attendance: Perform related duties and responsibilities as required. Comply with District policies. Complete all required training. Maintain a working knowledge and comply with District safety procedures and specific safety requirements of this position, and those in accordance with applicable provisions of the Revised Code of Washington (RCW) and Washington Administrative Code (WAC).

- As an essential function, drive a motorized vehicle while conducting business on behalf of the District.

Qualifications

Education

- No secondary education required.

- College courses in computers, automotive, business or the equivalent preferred.

Experience

3+ years experience in automotive parts, fleet operations, or a related service field is required. Experience with material handling, including issuing and returning materials, shipping and receiving, and inventory control is required. Experience in processing parts warranty claims required.

Licenses and Certifications

- Valid Driver's License at hire and WA Driver's License within 30 days of hire upon hire is required. and

- Class A CDL License with current medical card and air brake restriction removed upon hire is preferred. and

- CDL Tanker Endorsement upon hire is preferred. and

- CDL Hazmat Endorsement upon hire is preferred. and

- CPR – Cardiac Pulmonary Resuscitation with Valid First Aid Card within 90 days required.

Skills and Abilities

A fully skilled incumbent will have the following knowledge skills & abilities:

- Knowledge and understanding of the principles of operation of gas and diesel internal combustion engines, in regard to their role in the proper functioning of components and equipment and the ability to indicate malfunctions.

- Knowledge of specific parts components and terminology of the automotive, truck and power operated equipment industry required.

- Knowledge of fundamental principles and practices of public purchasing, material management and inventory control methods, particularly automotive equipment parts specialties required.

- Good verbal and written communication skills, the ability to maintain cooperative working relationships and interact with internal and external customers, contractors and the general public required.

- Requires the incumbent to be proficient in the use of computers and have the ability to work with Microsoft Office applications such as Word, Excel, and Outlook

- Proficient in reading, writing and speaking English is required.

- To perform this job successfully, an individual is required to have basic knowledge of Maximo Asset Management; Microsoft Outlook; Microsoft Excel; Microsoft Word; PC Hardware; PeopleSoft Time Entry/HRIS; General Office Equipment; GPS Equipment; and PeopleSoft Financials, small hand tools, forklifts, small to medium size trucks, and all appropriate PPE.

- Ability to read and interpret technical manuals, wiring diagrams, instruction books, specifications, shop drawings, sketches, manufacturer’s data, and blueprints.

- Ability to plan and conduct job related training, provide guidance and establish harmonious working relationships with coworkers and others.

- Ability to organize resources, establish priorities and utilize work scheduling techniques required.

- Ability to operate the District’s SharePoint and Maximo inventory control system and the PeopleSoft receiving system proficiently as they relate to this position is required.

- Ability to follow oral and written instructions.

- Must be proficient in reading, writing and speaking English.
