The Data Support Manager is responsible for managing projects and staff regarding all support processes with a focus on auditing and transferring payment approvals between Apricot (the central client database) and Microix (the main financial processing system). The main aspect of this role will be overseeing the direct entry of client financial services, as well as completing process reviews and revisions. The DSM will work directly with internal team members and case managers to ensure all direct client services are accurate and expensed within a timely manner. This role will also work closely with the finance department to ensure all financial requirements are met by staff and systems.

This role is expected to:

Be responsible for auditing all direct client financial services ensuring accuracy, documentation, and financial coding is accurate according to program specific guidelines

Conduct data imports/exports between systems via excel/CSV files

Ensure queue of pending payments is completed in a timely manner

Track all data quality issues and coach case managers on how to correct

Work directly with program managers for staff performance impacting PO timelines

Assist the Finance department on any PO corrections/adjustments

Audit existing folders for file fidelity and completeness

Regularly review and adapt current procedures as need for program or financial updates

Write and distribute reports, documentation, and operating manuals as appropriate and needed by users and the management team

Effectively manage a cue of existing projects and requests via work management apps

Support in authoring reporting and compliance procedures for data management processes

Provide user training, support, and feedback on current process

Provide additional organizational/departmental support by cross-training on all systems (such as HMIS, additional Apricot tasks, etc.)

Assist with additional administrative tasks such as staff supervision, timecards, training etc.

Assist with additional organizational/departmental deliverables such as reports, analytics, compliance processes, etc.

Requirements

Bachelor’s degree or equivalent experience in data/financial related fields

High proficiency with CSV/Excel or similar systems for export/data manipulation

At least three years of project management experience

Proficient in Microsoft Suite (mainly Excel, Word, teams, SharePoint)

Excellent written and verbal communication skills

Ability to think both creatively and strategically

Responds well under pressure with strict time limit
