The Office Support position is responsible for providing a wide range of office support to the company including answering phone lines, filing, greeting guests and more. Must be resourceful, an independent thinker, and self-sufficient as well as self-motivated.
Office Support Duties
Be a team player and support the Encompass Staff in completing tasks related to our projects.
Provide all clerical and administrative work according to, but not limited to the following:
Answer telephone.
Direct calls
Take messages.
Help client if possible or help research client questions.
Greet walk-in clients.
Keep the office organized and clean.
Open and distribute mail.
Send all outgoing mail.
Mail large parcels.
Able to lift 30 pounds.
Deliver maps, packages, submittals, etc. to City, County and /or Client upon request.
Type letters, memos, etc. upon request.
Copy and scan drawings and paperwork upon request.
Assist in preparing submittals, reports and presentations to City, County and Clients
Assist with opening new jobs.
Assist with keeping office equipment and staff stocked with necessary supplies.
Assist accounts receivable with day-to-day needs.
Go to store when needed (grocery, hardware, and office supply store)
Qualifications:
Two years office experience (or equivalent customer related ability)
Proficient in Microsoft Office, specifically Excel and Word
Excellent oral and written communication skills
Excellent customer relationship skills
Excellent organizational skills
