EXECUTIVE ADMINISTRATIVE ASSISTANT
This is a year-round position with full-time appointment with shared responsibilities between the Foundation and the President’s Office. This position will report to the Foundation Director and the President.
The Executive Administrative Assistant is responsible for providing the Foundation and the President a high-level of administrative support. The ability to interact with staff, faculty, students, community members, and donors in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient is crucial to this role. Concise and accurate written and verbal communication skills, strong decision-making ability, and attention to detail are equally important.
WORKING CONDITIONS:
Duties are performed in a school campus and office environment. The hours of the position are Monday – Thursday, 7:00 AM – 5:00 PM, with a 30-minute paid lunch. Work may be required at offsite locations for meetings, trainings, or events. Working effectively and collaboratively in a team environment is essential.
This is a non-exempt, full-time, regular position. Overtime may be required.
WAGE RANGE: $25.00 - $28.00 Per Hour

MINIMUM QUALIFICATIONS:
Associate degree or certificate of completion from an accredited career school.
Two years + customer service/administrative experience.
Experience with Microsoft Office products and the ability to use computer database programs.
Professional appearance and demeanor.
Maintain a high level of confidentiality with all interactions.
Will on occasion be required to drive on behalf of Perry Technical Institute. Employee must possess a working vehicle, hold a valid driver’s license, have an acceptable driving record, and produce proof of insurance.
Must be willing to consent to a drug test.
PREFERRED QUALIFICATIONS:
Microsoft Office certification.
Washington State Notary certification.
Demonstrated ability to communicate effectively with individuals of different backgrounds.
Previous experience performing basic office tasks, including but not limited to mailing, faxing, working with multi-line phone system, photocopying, scanning, receipting money, tracking payments, and filing.
ESSENTIAL JOB FUNCTIONS:
President
Coordinate the President’s calendar, including scheduling of meetings with both internal and external constituents.
Strategic Plan: meeting coordination, minutes, review action plans, other assistance as needed.
Record, transcribe, and distribute minutes of Trustee and Foundation Board meetings.
Filter email communications.
Serve as the notary for the President’s Office.
Other duties as assigned.
Foundation
Manage internal database for foundation donors and contacts.
Assist with Foundation mailings.
Assist Foundation Director with fundraising campaigns as needed.
Assist with Foundation scholarship procedures and student communication as needed.
Record school and foundation donations in a timely manner.
Facilitate tracking, invoicing, and entry for scholarship payments.
Contribute to planning and facilitation of alumni engagements and events.
Assist with WSDOT Pass Grant and scholarship tracking.
Provide support for other scholarship needs.
General Admin
Create a welcoming atmosphere for visitors while determining how best to address their needs.
Ability to prioritize and manage multiple projects simultaneously.
Accomplish tasks in a timely manner with outstanding attention to detail.
Coordinate events and meetings on campus; including set up and clean up.
Organize community service activities and track volunteer hours.
Maintain files, documents, and reports in a manner that allows for quick retrieval.
Ensure the timely retrieval and distribution of incoming and outgoing mail and interoffice documents.
Organize and promote internal PTI Auctions.
Coordinate staff meeting agenda and presentations.
Prepare and send updated Office Staff Service guide to all employees quarterly.
Utilize SurveyMonkey and MailChimp for internal/external communication.
Payroll donations.
Maintain inventory and supplies for executive & foundation needs.
Have good attendance and the ability to work well with others.
