We’re looking for a dynamic Executive Administrative Assistant to help us manage our growing portfolio and businesses.
Position Overview:
As the Executive Administrative Assistant, you will be the backbone of our executive team, supporting property management and renovation initiatives while enhancing operational efficiency. If you’re a detail-oriented problem solver who enjoys variety in your work and wants to make a meaningful impact, we want to hear from you!
Key Responsibilities:
-Calendar and Meeting Management: Schedule and coordinate meetings for the executive team, including property site visits, stakeholder engagements, podcasts, speaking opportunities, conferences and consultations.
-Communication Liaison: Act as the primary point of contact for the team as a whole which includes: long term property manager, maintenance, contractors, vendors, bookkeeper, short term rental manager, and listing agents, addressing inquiries and resolving issues promptly and professionally.
-Property Management Support: Assist in managing day-to-day operations of our properties that are under construction or in the renovation process. This may include tasks such as permitting, setting up inspections, supporting our contractor team, going to the workshop to deliver or pick up miscellaneous admin items, etc.
-Documentation and Reporting: Prepare and organize status reports on where different properties are in their renovation timeline, the status of various listings, and occupancy of short term rentals. You’ll also be the main conduit for receipts, labeling per property and ensuring they get uploaded to Quickbooks for our bookkeeper.
-Project Coordination: Support our CEO in project initiatives whether they be property related, brand related, or assisting staff with their project needs.
-Problem Solving: Identify and address operational challenges, proposing solutions to enhance efficiency and tenant experience. Be prepared and flexible when it comes to driving to our properties, the workshop or other locations to handle small problems that arise.
-Office Administration: Maintain an organized office environment, manage supplies, and assist with general administrative tasks to support the team.
-Real Estate Transaction: Work closely with the agent team in assisting with and leading transactions via administrative tasks and paperwork.
Compensation:
$30k, opportunity for portion of commissions and bonuses
Qualifications:
Previous experience in an administrative role, preferably in real estate or property management.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent communication skills, both written and verbal, with a friendly and professional demeanor.
Proficiency in GoogleSuite is needed and property management software (experience with [insert specific software if applicable] is a plus).
A proactive mindset with strong problem-solving skills and a collaborative spirit.
You will be expected to drive to job sites/properties to attend to small issues that arise. This will require you to have your own vehicle and an active driver's license.
