GENERAL CHARACTERISTICS

Under the general supervision of the Chief Financial Officer, responsible for performing various duties, including accounts payable, data entry, maintaining accounting subsidiary ledgers and general assistance when and where needed.

REPRESENTATIVE DUTIES

Assist Chief Financial Officer by performing accounts payable tasks as assigned, including but not limited to coding, verifying completeness and accuracy of invoices and participant applications, input into A/P Program, preparing checks to pay vendors, filing of invoices and checks, maintenance of spreadsheet ledgers to track expenses, and responding to vendor/participant calls on status of payables. In addition, data entry tasks shall include but not be limited to, database entry of participant applications, denials, intake sheets, non-financial service logs and other information pertinent to CAHRA’s delivery of services. Responsibility of input to both A/P and Database must be reconciled monthly between database fund sources and corresponding general ledger fund accounts to ensure accuracy, maintain quality control, and verify expenses do not exceed budgeted amounts.

Quality control responsibilities will involve detail review of all monthly client files for proper completion, documentation, and use of funds.

Other responsibilities include assistance with compilation of monthly reports to funding sources, maintaining contract compliance, housing database entry and reconciliation with fiscal records and preparation of monthly draws on contracts. In addition, this position is integral to the flow if information from the fiscal office to the other departments in the agency and as such, other duties and departmental assistance may be required as appropriate and approved by supervisor (i.e., processing TAP applications).

REQUIREMENTS

High School Diploma or GED, plus 2 years prior experience in accounting, or coursework in closely related fields, or an equivalent combination of training, education or work experience which demonstrates the ability to perform the duties of the position. Computer knowledge a must. Software knowledge of Axcent, MS Word, Excel and Access a plus, as well as working knowledge of office practices and procedures, and modern office equipment.

In addition, should have experience in working with and understanding the problems of the low-income; ability to work with persons from all sectors of the community including elected officials, business, and low-income/disadvantage groups; ability to communicate effectively verbally and in writing.
