We are seeking a proactive, detail-oriented professional with a client service focus to support an office of engineers, project managers, and other business teams in Phoenix, AZ.Office hours are Monday – Thursday 7:30 am – 5:30 pm and Friday 7:30 am - 11:30 am.Responsibilities

This is a front facing position where you will greet and assist clients, guests, all mail/supply delivery personnel, vendors, etc.

Effectively support and partner with all levels of staff in our growing office.

Mail distribution; USPS/UPS/FedEx distribution, STG (outgoing and incoming)

Keep office and kitchen stocked for employees by tracking inventory and ordering office/kitchen supplies as needed.

Maintenance/upkeep of production and supply rooms which includes a variety of printers.

Coordinate breakfast/lunch/snacks which includes ordering or shopping for food items, meals, ensuring dietary restrictions are considered, as well as, set up and clean up.

Organizing special events for groups.

Filing and archiving.

Fleet Management: check and update mileage for fleet vehicles, manage vehicle reservations, etc.

Support building facilities management

Assembling project documents and books.

Assist with expense reports and make or edit travel arrangements (flights/hotels) for Senior Leaders.

Coordination with other Kimley-Horn offices within the Region.

Open to differing tasks and responsibilities as they arise that will support the office and grow your career.

Qualifications

High School Diploma or equivalent

3+ years in a corporate/professional environment in an Administrative role

Outstanding organizational and communication skills

Strong writing, editing, typing, and prooing skills

Able to manage and balance multiple tasks and priorities

Proficiency with MS Office including Microsoft Word, Excel, PowerPoint and Outlook

Must be able to lift and move up to 50 lbs.

Valid Drivers License and reliable transportation

At the CL-27 level, applicants must have a minimum of two years of progressively responsible administrative, technical, professional, supervisory or managerial experience that provided an opportunity to gain skill in developing interpersonal work relationships needed to lead a team of employees; the ability to exercise mature judgment; and knowledge of the basic concepts, principles and theories of management and the ability to understand the managerial polices applicable to the court, including one year of specialized experience at or equivalent to CL-26.
